I did the admin work by hand first.

In my virtual assistant training, I was handed a coach's inbox with 1,400 unread emails. I sorted it by hand. Labels, filters, reply templates. Hours of it. Then new emails came in and the pile started growing again.

Same thing with calendars. Open the date, type the title, pick the time, pick the colour, set the reminder, save. Thirty times. Then the client moves three meetings and you start again.

That's when it clicked for me. This work doesn't need a person. It needs a system. So I trained in AI automation at TS Academy and started building the tools I wished I had: an inbox assistant that sorts and drafts replies every minute, a calendar I can book with a Telegram voice note, a lead qualifier that tells a sales team who to call first.

Before automation, I built funnels, wrote copy and ran ads on Meta and Google. So I think about what a workflow does for the business, not how many nodes it has.

01Lead qualification

Real Estate AI Lead Qualifier

I saw a job post asking for an n8n workflow that captures leads, qualifies them with AI and updates HubSpot. Instead of writing "I can do this" in a proposal, I built it the same night.

  • Takes leads from any source through a webhook: website forms, Facebook Lead Ads, email
  • AI scores each lead Hot, Warm or Cold on budget, timeline, location and intent
  • Writes a one-line reason and the next step for the agent
  • Creates or updates the contact in HubSpot and logs it in Google Sheets
  • Hot leads trigger a Gmail alert so the team calls them first

AI Inbox Assistant

Inboxes never finish. You keep up or you fall behind. So I built an assistant that keeps up for me. It checks the inbox every minute.

  • AI reads each new email and sorts it: urgent, client inquiry, invoice, newsletter, personal
  • Applies the right Gmail label automatically
  • Writes a reply for inquiries and invoices and saves it as a draft. It never sends on its own.
  • Urgent emails send a Telegram alert to my phone within seconds

03Scheduling

Voice-to-Calendar Assistant

I send a Telegram voice note: "Book a client call tomorrow at 3pm for one hour, make it red, remind me 30 minutes before." A few seconds later it's on my calendar and the assistant confirms.

  • Turns voice notes into text with Groq Whisper
  • An AI agent that can create, check and delete calendar events
  • Asks me to type YES before deleting a recurring series
  • Only works for my Telegram account, and refuses anything that isn't about the calendar
ResultEvents booked in seconds with the right date, colour and reminder. If something fails, it says so instead of pretending.

Finding footage for one documentary used to take me about 5 hours: Pexels, YouTube, Internet Archive, download, repeat. I built an agent to do it.

  • Reads my voiceover script and pulls out the visual keywords for each scene
  • Searches Pexels, YouTube and the Internet Archive at the same time
  • Downloads the clips straight into my editing folder
